1. Project Functionality

 

Ezekia supports three types of projects: Assignments, Opportunities and Lists.

Each project type shares core functionality but can have its own individual customisable pipeline tags, dashboards, reports, statuses and fields.

Example Use Cases:

  • Assignments - For searches, including defined deliverables and tracked candidate progression

  • Opportunities - Used for speculative pitches, client development, or to track potential future work

  • Lists - For business development, events lists, marketing campaigns and strategic talent mapping/talent pools

People Dashboard

Entering/Adding People Records:

  • Manual entry

  • Import CV directly or via Outlook extension

  • Import from LinkedIn Chrome extension

  • Optional free connection to 'Not Actively Looking' database of 90k candidates

  • Off-limits flags for people or companies - include time limits and notes

  • Forms:

    • Fully customisable for external use or internal use

    • These get filled in by contacts and candidates and re-attached automatically in the forms area and subsequent tag/status change

  • Record filtering by various fields

  • Person tags (codes for people)

  • Attachments

 

Researcher Notes:

  • Time and date stamped

  • Voice transcripts

  • Can be associated to people, companies, or assignments

  • Optional tags (codes) and record contexts

 

Customisable Fields:

  • Various data types - Free text, Star Rating, Ranking, Toggle, Chart, Date, Dropdown, Multi-select, Category, Date selector, Line, Link, Number, Paragraph, Slider and Toggle button

  • Pick which section they appear in the record

  • All these fields can be included on custom reports

  • Can be targeted so they relate to a company or project only

 

Company Dashboard

3. AI

 

  • When OpenAI integration is enabled, AI is available across the Ezekia platform and is available in every free-text field including custom fields.

  • AI Sidekick: Ezekia’s AI Sidekick enables instant, contextual analysis of whatever you’re viewing, candidates, clients, or assignments. Ask natural-language questions and receive concise answers directly on-screen without leaving the record. Sidekick interprets the context, surfaces insights, and connects related data points to help you act faster and more confidently.

  • Query builder integration: Users can query data using plain language, whether structured or conversational

  • Job spec matching: Paste a job spec or upload a Word doc to receive suggested candidates using AI-powered matching

  • Candidate and note summarisation: Summarise longform notes, highlight key themes, or generate insights with one click

  • Generate/enrich companies: One click fill of company records

  • AI CV parsing: Allow the system to interpret resumes

  • “People like this” suggestions: Find similar candidate profiles based on an existing person’s attributes, making it easier to build lists or expand a talent pool

 

 

4. Working With Data

 

Search:

  • Multiple search parameters such as role, location, industry, salary, tags (codes) and more

  • Search by must have, important and does not include

  • Free text search

  • Search both locally maintained and self-managed profiles

  • Further filtering is possible after the initial search

  • A simple mechanism to bring selected candidates into a project

  • Prompt and file options are also available

    • E.g. copy and paste a job specification into the prompt or upload a Word document to the file, to then have the machine learning algorithm provide a list of suitable candidates based on this data

 

Record Filtering:

  • Tags - almost all tags can be user-defined

  • Pipeline tags (what stage in the project the person is at). Choose which tags are applicable to which project type (Assignments, Opportunities or Lists)

  • Person tags (codes for people)

  • Project status

  • Note tags (codes for notes)

  • Meeting and task tags (codes for meetings and tasks)

 

Attachments:

  • Various file types can be added to all record types at no extra cost

 

Customisable Fields:

  • Various data types - Free text, Rating, Ranking, Toggle, Chart, Date, Dropdown, Multi-select, Category, Date selector, Line, Link, Number, Paragraph, Slider, and Toggle button

  • Pick which section they appear in the record

  • All these fields can be included on custom reports

  • Fully customisable for external use or internal use

5. Project and Candidate Progression

 

General Dashboard Functionality:

  • Sorting

    • Multiple predefined sort orders are available

    • Group by pipeline tag (stage candidate is at in the process)

    • Manual orderings/ranking available

  • View Options: Dashboards support multiple customisable display views

    • The Grid View shows records with rich detail across multiple fields

    • The Line View provides a cleaner two-line layout per record

    • The Compact Line View allows you to see significantly more rows on a single screen - ideal for quickly scanning larger datasets or lists

Task and Meeting Management:

  • Tasks and meetings can be assigned to most record types

  • Central control of tasks and meetings

  • Additional calendar view of tasks and meetings

  • Customisable filters by task type, date etc

  • Integrated with Microsoft Outlook

 

 

6. Client Interaction

 

Client Portal:

  • Updated real-time

  • Control access (both who can access and when access is available)

  • Extreme flexibility to show just the candidates and information required

  • Hide/show selected information on all candidates or just specific candidates

  • White labelled or fully branded to your own specifications

  • The client can add feedback notes to candidates

 

Query Builder:

  • User-defined reports over almost all areas of the system

  • Highly flexible query tool

    • Revenues - Track expected or confirmed revenue, with probability weighting

    • Invoices - Fully itemised and customisable; invoices can be tagged, sent in stages, and emailed directly from Ezekia using templates

    • Fixed Fees - Record non-split items like expenses or overheads

    • Contact - Define recipient details required for invoice sending

  • Fully reportable via Query Builder

  • Admin controls for invoice templates, fee split rules, numbering, and permissions
